What is the Timeline?
A crucial part of a seller's workflow is understanding the various touchpoints on a specific deal (and every record for a matter of fact). It allows you to understand:
What history exists on each deal?
Who was involved?
How often were there communications?
The Timeline provides transparency into the timeline of a record, consolidating activity information across your CRM and Google Suite.
How to use the Timeline?
Navigate to the Timeline
There are two ways to access the record timeline:
In the navigate bar, click on Timeline to access the timeline.
In the Pipeline View, find the record you want to dive into and click on the "calendar" icon on the right of the table row (it will open the timeline for that record specifically).
Select a Record
You can easily modify the record presented in the timeline. At the top left of the Record Timeline page, use the input bar to type the name of a record, and select the relevant record from the dropdown menu.
All main CRM records are accessible:
Opportunity
Account
Contact
Leads
Once a record is selected, the timeline will be automatically update with the relevant information.
Review activity details
The timeline is split 5 different swim lanes, highlighting the different categories of activities:
Customer meetings
Emails
Internal Meetings
Phone calls
Deal stage
The timeline shows one month at a time. The displayed month can be modified by click on the date picker at the top of the timeline.
Click on any specific activity in the timeline to access the details of it. The following details are present for the activities:
For email: From, To, Date, Email Body, link to Gmail
For meeting: Date, Time, Google Meet link, Phone Number, Location, Description, Participants
For call: Date, Time, Receiver (Name, Title, Phone number), Caller (Name, Title)
The record can be opened in it's original data source: Google or in your CRM (depending where it's pulled from) by clicking on the relevant button at the top right of the drawer.
Sync an activity to your CRM
If a record is pulled from Google (email or meeting), it can be synced to Salesforce in one click:
Open the details of a specific activity
Identify to CRM icon at the top-left of the drawer
A modal will appear, pre-filled with the details of the activity
Click on "sync" to sync it to your CRM.
When is it helpful?
The timeline is a great tool to help salespeople investigate specific records. You have to know before you do!
Preparing for meeting: You have a meeting coming up, make sure you get a quick refresher
Getting ready for a pipeline review: Know your opportunities inside out so you can blow your manager's mind
Unblocking a deal: You've decided to work on a deal and try to unblock it. Investigate the history of activities and see recommended actions.
