Why connect your Microsoft Teams account?

Syncing your Microsoft Teams account with Pod lets you automatically pull in meeting recordings, transcripts, and conversation data from Teams meetings—no manual work needed. Pod uses this data to generate deal insights, track stakeholder sentiment, and guide you with AI-powered coaching on how to move deals forward.

By connecting Teams, Pod becomes even more powerful—bringing rich insights from your conversations directly into your deals.


šŸ”— How to connect your Microsoft Teams account

Here are the steps to connect Microsoft Teams to your Pod workspace.

🧠 Note

You can also connect your Microsoft Teams account during the initial onboarding flow when setting up your Pod workspace.

Only one person per workspace (typically a manager or ops lead) needs to complete this process. Once connected, Pod will pull data across the organization.

āœ… Step 1: Log into Pod

  1. Enter your login credentials.

āš™ļø Step 2: Navigate to Account Settings

  1. In the bottom-left corner of the app, click your profile avatar or initials.

  2. In the pop-up menu, click ā€œAccount Detailsā€.

  3. From the settings panel that opens, select the ā€œIntegrationsā€ tab in the left-hand sidebar.

🧩 Step 3: Select Microsoft Teams from the Integration List

  1. Scroll through the list of available integrations until you see Microsoft Teams.

  2. Click the ā€œConnectā€ button next to the Microsoft Teams logo.

šŸ›” Step 4: Set Up Microsoft Application Access Policy

For Pod to access meeting recordings and transcripts, Microsoft requires a policy to be explicitly set via PowerShell. This must be done once per organization, typically by your Teams/Microsoft 365 admin.

Instructions for Admins:

  1. Open Windows PowerShell as an administrator.

  2. Run the following commands one by one:
    ​

    Connect-MicrosoftTeams
    New-CsApplicationAccessPolicy -Identity "PodMeetingAccess" -AppIds 951ab437-60d8-4287-a58c-5ea852d0854a
    Grant-CsApplicationAccessPolicy -PolicyName "PodMeetingAccess" -Global

  3. Wait approximately 30 minutes for the policy to propagate.

šŸ” Step 5: Authenticate with Microsoft

  1. A new window will open prompting you to sign in to your Microsoft account.

  2. Make sure you use the same Microsoft account associated with the meetings you want Pod to access.

  3. If you are not an administrator, you may see a request to get admin approval—forward this to your Microsoft 365 administrator.

You’ll be asked to grant Pod permission to:

  • Access your calendar and online meeting data

  • Read call recordings and transcripts associated with your meetings

Click Accept to grant the necessary permissions.

āš ļø If your organization has strict security policies, your IT admin may need to pre-authorize the Pod app within the Microsoft Entra Admin Center (see below).

āœ… Step 6: Confirm and Save

  1. Once authenticated and the policy is in place, return to the Pod app.

  2. You should see a ā€œConnectedā€ status next to Microsoft Teams in the Integrations tab.

  3. Pod will begin syncing your meetings automatically—no further action required.


How to use your Microsoft Teams integration in Pod

Once connected, Pod will automatically ingest conversation data from Teams and surface it across several key workflows to help you close complex deals faster.

āš ļø To ensure Teams meetings are recorded and transcribed properly, please work with your Microsoft 365 admin to enable transcription and cloud recording.


How to remove your Microsoft Teams integration in Pod

If you no longer wish to use the Microsoft Teams integration with Pod, you can disconnect it at any time through Microsoft Teams or directly from within the Pod application.

šŸ›  Option 1: Disconnect Through Microsoft

  1. Go to Enterprise Applications

  2. Search for the ā€œPodā€ app

  3. Select it and choose Remove

āš™ļø Option 2: Disconnect Through Pod

  1. Log in to your Pod account.

  2. Go to Account Settings > Integrations.

  3. Locate the Microsoft Teams integration.

  4. Click ā€œDisconnectā€ next to the Microsoft Teams logo.

āš ļø Implications of Removal:

  • Pod will no longer have access to your Microsoft Teams recordings or transcripts.

  • Any future coaching insights or summaries will no longer be based on Microsoft Teams call transcripts.

  • You can re-authorize the integration anytime from within the Pod platform.

šŸ”’ Data Handling After Removal:

  • Pod will immediately revoke your access token.

  • All previously imported data remains stored securely for audit and coaching history, unless you request full data deletion via support.

How to Adjust Microsoft Teams Settings

Some adjustments need to be made to your Microsoft Teams settings to automatically record, store, and transcribe conversations so that you can leverage Microsoft Teams call recordings.

āœ… Step 1: Access Teams Admin Center

  • Sign in to your Microsoft 365 Admin account.

  • Go to the Microsoft Teams admin center.

  • From the left-hand menu, choose Meetings > Meeting policies

šŸ“¹ Step 2: Enable Cloud Recording

  1. In the selected policy (Global or custom), locate Cloud recording under Recording settings.

  2. Toggle Cloud recording for meetings to On.

  3. Click Save.

Note: This setting may be called ā€œRecord and transcribe automaticallyā€ if using Teams Premium templates or meeting sensitivity labels.

ā˜ļø Step 3: Enable Transcription

  1. Still in Meeting policies, scroll to the Audio & video section.

  2. Set Allow transcription to Onļæ¼.

  3. Save the policy changes.

šŸ•“ Step 4: Set Cloud Recording Auto Deletion

  1. Go to Account Management > Account Settings > Recording.

  2. Scroll to Auto delete cloud recordings after a specified number of days.

  3. Toggle this OFF.

  4. If you want to keep it ON, set the number of days (e.g., 30 or 90).

  5. Click Save.

ā˜ļø Step 5: Confirm Storage Settings

Teams recordings and transcripts are stored in:

  • OneDrive for non-channel meetings

  • SharePoint for channel-based meetings

Ensure both OneDrive and SharePoint are enabled in your Microsoft 365 tenancy.

šŸ‘„ Step 6: For Teams Premium – Automatically Record & Transcribe on Start

With Teams Premium, organizers can:

  • Set record & transcribe automatically via meeting templates or sensitivity labelsļæ¼.

  • During scheduling in Teams calendar or Outlook, toggle ā€œRecord and transcribe automaticallyā€ in Meeting Options .

  • Once the meeting starts, transcription begins automatically without manual intervention.

šŸ” Step 7: User Experience (in-app)

Once configured by your admin:

  1. Organizers can select More actions (…) > Record and transcribe > Start during a meeting.

  2. A transcript pane appears with live text and timestamps.

  3. At end of meeting, recording and transcript are saved in chat with download options.

šŸ” Step 8: Review Expiration Policy

By default, recordings/transcripts expire in 120 days. To adjust:

  1. In Teams Admin Center: Meetings > Meeting policies.

  2. Find Recording expiration settings.

  3. Disable auto deletion or set a retention timeframe


Troubleshooting

If you’re having trouble using the Microsoft Teams integration with Pod, here are some common issues and how to resolve them:

A. Can’t connect Microsoft Teams to Pod?

  • Ensure you’re using an eligible Microsoft 365 account with admin permissions

  • Confirm that the Application Access Policy has been correctly set up in PowerShell

B. Meetings not showing up in Pod?

  • Only meetings that are recorded and transcribed in Microsoft Teams will appear in Pod

  • Make sure meetings are scheduled under the connected account

C. Transcript missing?

  • Verify that Microsoft Teams meeting transcription is turned ON for your organizational setttings.

  • You may need your Microsoft 365 admin to enable this in the Teams Admin Center.

D. Still not working?

  • Try disconnecting and reconnecting the integration.
